Quarantine List
The Quarantine List window displays batches that have been received and are pending required testing. Use it to manage lab testing, assign technicians, print documentation, review batch details, and release batches into inventory.
Overview
The Quarantine List provides a centralized view of batches that are pending testing before they can be safely released into the workflow. From this window, you can review batch details, assign technicians, print stickers, receive samples, add lab testing, and manage release activities.
Grid entries can be sorted by clicking column titles, using the search function, or filtering by additional options.
Not all components require lab testing before release. Ingredients are examples of components that may require lab testing. Components that require lab testing are configured during the initial onboarding process.
How to Open Quarantine List
- Open Inventory
Go to Inventory in the Virtual Ops system.
- Select Quarantine List
Open Inventory > Quarantine List.
- Review batches
Use sorting, search, and filters to locate the batch you need to manage.
Grid Action Buttons
Print Batch
Downloads the batch sticker or stickers for re-printing.
Print Samples
Downloads sample stickers for re-printing.
View Batch
Displays details for the selected batch.
Delete
Deletes the selected batch from quarantine.
View Batches
Displays all batches for the component of the selected batch.
Release
Allows a batch in Ready to Release status to be released into active inventory.
Assign Tech
Assigns a technician to the selected batch using the technician dropdown.
Lab Testing
Opens the Lab Testing window so required testing can be added to the selected batch.
Receive Sample
Marks the selected batch as having received samples.
Email Customer
Emails the selected batch details directly from the system.
Column Visibility
Changes which columns are visible on the current grid. These selections are saved per user, browser, and grid.
Excel
Exports the currently selected grid data to Excel.
How to Assign a Technician
- Select a batch
Choose a batch from the Quarantine List grid.
- Click Assign Tech
Use the Assign Tech grid action button at the top of the grid.
- Select a technician
Choose a user from the dropdown input at the top of the window.
- Save the assignment
The selected user is automatically added and the window is saved after clicking.
Lab Testing
The Lab Testing action allows you to add required testing for received inventory components. Lab testing can include test types such as hard metals, color, loss on drying, pH, and more. Administrators can add additional custom test types.
To begin, select a batch row from the grid and click the Lab Testing action button at the top of the window.
After you save the initial details in the Lab Testing window, the batch is moved into Lab Testing status.
How to Add Lab Testing
- Open Lab Testing
Select a batch from the grid and click the Lab Testing action button.
- Review batch details
The Lab Testing window displays auto-populated Batch Details, additional Details in the top-right area, and tabbed sections in the lower portion of the window.
- Save details
Enter or select any needed details in the top-right area, then click Save Details.
- Open the Tests tab
The Tests tab is open by default. Use the test input to select from available tests.
- Complete test fields
After selecting a test, complete the available input fields. Some inputs are required.
- Confirm and add the test
Enter your user password and click Add Test to complete the process.
Lab Testing Tabs
Tests
Select and add tests for the batch. Added tests appear in a list at the bottom of the Tests tab, where they can be edited, viewed, or printed.
Chemicals
Add chemical batches to testing procedures. This is helpful when performing internal lab testing.
Batch Files
Add files to the batch. Files may already have been added during quarantine, including COAs, manufacturing packing slips, or other batch documentation.
Component Details
Displays documentation files saved for the component in the batch.
Printed Lab Test Summary
When lab tests are printed, a PDF is downloaded. The PDF contains a summary of the tests selected for printing. A test can be included in the summary while creating or editing the test.
- Reviewed by — The user and date for the user who moves the batch into QC Review status.
- QC Reviewed by — The user who moves the batch into QA Release status.
- Approved by — The user who moves the batch into Ready To Release status.
Lab Testing Buttons
Requalify Batch
Marks the batch as qualified.
Submit for QC Review
Marks the batch as needing review by QC personnel with the proper permissions. Generally, needed testing should be added before clicking this button.
Ready to Release
Allows the batch to be released into available inventory. To complete the release, use the Release action button on the Quarantine List grid.
Conditional Release
Allows the batch to be used in active inventory like any other batch.
You cannot finalize a BPR with a batch in conditional release status until the batch has been released into available inventory.
How to Release a Batch into Inventory
- Confirm Ready to Release status
The component must be in Ready to Release status before the Release action can be started or completed.
- Select the batch
From the Quarantine grid view, select the component or batch you want to release.
- Click Release
Click the Release action button at the top of the window above the grid.
- Select a storage location
Choose the initial location where the batch will be released using the Current Storage Location dropdown.
- Add release details
Enter any follow-up comments and add any needed documents.
- Release or reject the batch
Click Release Batch to complete the release, or click Reject Batch to reject the batch.
Viewing Rejected Batches
To view rejected batches, go to Inventory Batches > View Batches, then select the component. Filter the displayed grid by rejected to see rejected batches.
Auto PO Received Feature
If the PO Auto Receive feature is turned on in Virtual Ops, the system updates the purchase order status when inventory is released.
- All PO items received
If all items on the PO assigned to the batch have been received, the PO status is automatically switched to Received.
- Some PO items received
If only some items on the PO assigned to the batch have been received, the PO status is automatically switched to Partially Received.
